PROCEEDURES FOR Karpet Kingdom

Accident Book , The accident book is kept in the drawer in the main office, it must be filled in when an accident occurs, the accident,has in some cases have to be reported to the HSE,IN ANY EVENT TRY TO GET  WITNESSES in these litigious days where everyone is trying to sue for a fast buck even if we are completely blameless it does not stop people going to a no win no fee solicitor

ALCHOLOL/DRUGS can affect your judgement, cause accidents, it is a serious offence to be drunk at work,please remember you could still be under the influence after the night before,DO NOT OPERATE MACHINERY take a breath freshner if you are serving customers,look at the warnings of any medecine you may be taking.

DONT TAKE ANYTHING IN THIS WEBSITE TO HEART except health and safety IT is meant for new employees and to comply with the law thats whre we have problems, we havent had any problems with longstanding  employees in the past everyone sorts thing out between  themselves

ASTBESTOS there has been a survey,and there is astbestos in the building ie the roof there may also be astbestos in areas that are inacessable for that reason, we must assess the risk before making changes to the workplace, astbestos should not be mucked about with drilled cut etc except by a specialist

BACK YARD should be kept clean,to discourage verminand free of tripping hazards, when tidying or clearing rubbish always wear industrial gloves and use a tool for picking up rubbish if possible,people may have  thrown used syringes over fence

DISMISSALThere is the 3 steps to dissmisal with an appeals proceedure you just cannot sack anyone on a whim or fancy proceedures have to be gone into,if this effects you, you have rights and must appeal in  writing firstly to the Manager within a time limit certain offences are deamed as reasons for instant dissmissal ie fiddling in any case laws change and the manager and the employee it may effect should consult the  relevent laws at the time.Grose Misconduct fighting stealing drunkeness refusing a reasonable and lawfull order of a manager.

ELECTRICITY is dangerous if not used correctly,we have a timetable for checking the electricity it is a myth that plugs sockets need to be checked by a qualified electrician yearly it boosts there earnings,but a competent person must reveiw the electrical state of applinces and plugs,for this reason if you bring your own electrical equiptment to use at work if you are not sure of its saftey dont use it, vaccumins fan heaters etc equiptment that is moved about,should obviously be checked for signs of wear but stationary equiptment needs looking at less often, FUSES if one blows change it with the correct rating, Flourescant tubes should only be changed at a reasonable working hight and with another member of staff to hold ladder or steps

Fire exit areas must be kept clear of stock and tripping hazards for emergency use

Heaters must be kept clear of combustible material including fluff

Brush up or vac daily around Risk Areas

FIRE PROCEEDURE.the risk assesment, includes the risks and avoidance,please familiar yourself with it LINK if you smell smoke quickly  inform other members of staff and try and identify where it is coming from,if a sourse cannot be found ie outside bonfires in neighberhood,overheating flourescent light fittings you must evacuate the public,keep  trying to locate source bearing in mind your own safety and fire exit routes,if a fire is found ring fire brigade andtry and deal with it with fire extinguishers only if you are not putting your life at risk if  building has to be evacuated a check for any missing persons should be made at the fire assembly point prior to arrival of fire brigade and them immediateley informed if any one is missing, if the source of the fire  smell cannot be found ie try switching off electrical curcuits seperateley,speak to any contractors if working in building to see if has anything to do with them call fire brigade

Fire extinguishers must not be hidden by stock

sales area if portable heaters are used a suitable power point should be used and it should be situated away from falling paperwork

FIRST AID deal with minor injuries immediateley antiseptic plasters etc and arrange for person to go to casualty if possible,remember a tetanus injection might be needed,The company will at all time welcome a member of staff to attend St John courses or health and saftey courses and give time off with pay.Call an ambulance if required,always take notes of the symptoms and curcumstances to pass on to ambulance staff.

FURNITURE DOORS WINDOWS CEILING any repairs must be done as soon as a defect is noticed to stop any danger if not practical cordon off area or throw a broken chair out

HOLIDAYS unless agreed otherwise are statuatory minimum number of days Bank holidays are for banks, in the retail sector our holidays are governed by the publics need to shop at times convinient to themselves, you need to book in your holidays with the manager on a first come forst served basis Sales staff should try and avoid busy periods ie bank holidays Fitters should not book the 4 weeks prior to Christmas You should keep your own record of your days off and holidays taken as without it managements decision is final.Holidays must be taken in the holiday year and not carried forward New employees and part time are entitled to a percentage of the full holiday entitlement depending on their hours and when started work example if you start work at the beginnig of July you have 6 months entitlement if you take all of them  in SEE HOLIDAYS

SIGNS  temporary signs should be used when using forklift, when floor is slippy (if signs are being used all the time ie wet floor (somethings wrong) and should be attended to Signs should not be interfered with

STAFF new proceedures MUST  consult before doing a non standard proceedure,you must consult with the manager how best to approach the task and its risk before doing any non standard proceedure

STAFF WELFARE the manager will take into account staff medical conditions  ie time off  to sort out perhaps a medical condition and allowances will be made

STORING MATERIALS STOCK etc all storage should be in a manor that it does not trip or interfere with safe passage, and should be in a stable condition that it will not fall,is easily available to pick,and is easily  assesible

VACCUMING any extensions used must be checked for safety ie loose plugs/cables before use a sign must be in place warning of lead and that lead must be laying flat and not coiled or present a tripping hazzard customes staff should be warned when approaching cable ie (watch the cable thanks)

VERMIN ughh! Keep all waste food in bins provided not left lying about dont encourage them by being careles dont encourage nesting by leaving rubbish lying about

ABSENCE you must phone within the first hour of any unautherised absence and give reason to the manager,if it is an illness you may be entitled to statuatory sick pay if you carry out the correct proceedure the company does not pay any sick pay, but you may also be liable for paid maternity leave by the government

SELLING HANDLING CASHto public PLEASE BE VERY CAREFULL TO FOLLOW THE RULES which are before any money changes hands a receipt must be made out for the full amount this receipt must be made out at the sales desk,before any  goods leave the shop a receipt must be made out and unless the customer has an account (which must be checked by the manager) money must have been paid only at the sales desk and rang into the till, we do not accept payment by  cheque without a customers guarrantee card and the correct proceedure must have been done ie you write the number on the back and the address and the customer signs the cheque in front of you, if any changes are made to the  receipt ie the customer decides not to have the doorstrips and you have to make amendments to the total price you must get the manager to sign on the receit return of money due to complaints goods brought back etc the customer  must sign a credit note and put their name address telephone number at the very least  their name and address and signature

MANAGER you will know who the manager is, if the store is opened before the manager arrives the person who opens the store is the manger,and the Manager responsibilities for Health and Safety rests on him Simalary if the  Manager goes out and will not return before closing time the responsibilities rest with him or her

MILEAGE the company pays the highest rate available by customs and revenue and the rules dictate that a proper record must be made of mileages for business use only that does not include trvelling back or forth from your  home to the place of business, your records may be required by the revenue and if they are found not to be correct You will be required to pay back any overpayment these records must be kept by us for approx 6 years,but if any scullduggery is found the revenue will estimate what you have been overpaid even further than that so please be carefull in keeping proper records

WAGES BONUSES OVERTIME THERE is no such thing as cash in hand all payments must be put through our PAYE system and untill it changes that is LUCKMANS ACCOUNTANTS if you receive a payment without a wage slip unless it is an autherised sub you and the person paying you out will be resposible for paying it back plus any fines the company is liable for

BONUS SCEMES FROM TIME TO TIME BONUS SCEMES are given ie example if the till is correct each day and there are no receipts missing, the company reserves the right to withdraw these scemes at any time without reason, but it will usually be but not always to replace it with another sceme to give an incentive or it may be because the incentive is having no effect

 

MANUAL HANDLINGwho is at risk, young staff,unfit staff,staff after holidays or absence,ill staff,Staff should read HSE GUIDE TO MANUAL HANDLING http://www.hse.gov.uk/contact/faqs/manualhandling.htm#isthere TO REFRESH THERE TRAINING also read our own manual handling guide specific to our warehouse.also readhttp://www.hse.gov.uk/pubns/iacl103.pdf there is lots of information available, always think of a better safer way to do things and a £10.00 reward will be given if it is incorporated in our own manual handling assessment

 MAINTENANCE NOTE A FROM DIARY,,,,, SAFTEY ANY maintenance repairs must be reported to Manager who will autherise,replacement repairs up to £200 or ring if above that amount.a RECORD MUST BE KEPT OF ALL  REPORTED FAULTS AND ACTION TAKEN

ACCIDENT BOOK all accidents or near misses should be recorded in accident book and the manager notified who will notify me if the situation cannot be put right

FIRST AID box should be kept up to date and complete

STAIRS no obstacles litter should obstruct stairs all walkways should be kept clear all handrails must be in good condition staff must report immediateley to manager any obstructions,litter on stairs ans wlkways and must  not climb or deviate to access any area

WASHROOM staff must leave the washroom in a clean condition with soap towels hot water and report to manager if it is not in a clean condition when they enter,

WALKWAYS as per stairs with no tripping hazzards staff must report any tripping or litter in walkways to manager,who will find out who is responsible and retrain

GIFTS of money from anyone except a tip up to the value of £5.00 from a (customer for exceeding their expectations) are not allowed.Be very carefull when accepting gifts as they could be interpreted as a bribe, all  purchases must be made on a comercial basis disregarding any incentive unless it benefits the company as a whole and not just individuals,from time to time you can go on holidays with certain companies visit factories abroad be  entertained meals etc and get good bargains but please make sure you are not likeley to be accused of paying over the odds or buying something that would not normally be bought,any vouchers given for whatever reason rebates  buying certain cuts or whatever else companies dream up to get your business ie Marks and Spencer are the companies property to record for tax purposes and share out. If you would like to go on one of the companies holidays  please discuss it,it may be possible if you can come to an agreement over tax liabilities and losses of others as a result

FIRE SAFTEY no secondhand electrical equiptment fixed or portable electrical equiptment is to be brought into the premises unless it is from a hire place and has a cert that it has been safety tested.

No cooking or heating by equiptment that uses a naked flame when smoking outside premises the sand bucket must be used to douse butts and matches.Portable heaters must have safety cutout must only be used in office area or  kitchen away from all combustible material ensuring the lead does not present a tripping hazzard or can be walked on or become worn. Only one electrical heating appliance can be plugged into each socket (NO MULTI ADAPTERS  except for low wattage equiptment till telephone etc)any heating appliance must not be above 2 killowatts. EMERGENCY HEATING if require must be of the lectrical type and be plugged into suitable sockets the CABLE must not  present a tripping hazzard or in a place it can become worn. Plugs should be checked on new appliances that have been operating after an hour or sooner to check they are not becoming hot CONTRACTERS If they are going to do any  work that requires the use of a naked flame a responsible member of staff should oversee the work Tell the contractor to contact you when he is going to use a naked flame and stay with them while the work is carried out.The  same proceedure is required if they are working with or liable to come into contact with ASTBESTOS AND IF THEY ARE THEY MUST BE REGISTERED CONTRACTORS           FLOURESCANT  LIGHTS can and do overheat SMELL BURNING immediateley investigate the cause with another member of staff,likely causes are outside bonfires or in the past flourescant lights becoming faulty and getting very hot, remember to  check if any new electrical appliances have just been plugged in they can give off a burning smell when first used or may in fact be overheating.Aso condider isolating different electrical curcuits to see if smell disapears.If  a cause cannot be found. evacuate building and call Fire Brigade who can investige with heat sensors DRYING WET CLOTHING in front of heaters is not permitted if it is aproblem install a tumble dryer for that task CARPET FLUFF  is more easily combustible and as such must not be allowed to accumalate AREOSOL CANS must be stored in their bunker and only a max of 24 cans to be in sales area/loading area.OIL FIRED HEATER FIRE EXTINGUISHERS must be seviced  annually see service dates in diary or whenever a fault develops EXIT ROUTESmust be kept clear of all stock and tripping hazzards FIREWORK NIGHT make doubly sure no windows are broken or there is any way a firework could gain  access ie letterbox.EMERGENCY EVACUATION see FIRE RISK ASSESSMENT

 

FITTERS whether self employed or employed are embassadors to this business and must behave as such, from time to time when getting to a house the customer may want an extra doorstrip or the underlay may need replacing  when our estimator thought it would be o/k any way for whatever reason the customer requires extra materials it is the shops customer not the fitters, the shop has spent time and money getting customers they are the shops  customers, and if they need to buy anything else it is the shop that will either sell it to them or give it to them depending on curcumstances neither should the fitter encourage the customer to bypass the shop.In all dealings  with the customer the fitter should only praise the shop and its staff not run them down or moan about them or blame them in anyway, fitters should carry spare materials in case of shortages and check they have loaded all  materials required for their work the shop will not be responsible for delivering materials that should have been carried as spares or not loaded due to any reason.Fitters should explain the reasons if the customer queries any  aspect of their fitting that they or another fitter will come back ie if the bubbles do not settle down etc etc and reassure the customer that the shop is very reliable and will deal with all problems if any persist

TILL SHORTAGES If the till is short or over occasionally its a mistake If it is under or over often it is misuse of company money, if anyone is found to have misapropiated company and the taxmans money not only will they be reported to the police who will probably do nothing they will be reported to the Revenue and Customs

TAKINGS must be put in the safe each night, The person locking up is responsible for the moneif it is not in the safe,if a safe key holder leaves early and may not return the till moneys should be put in the safe and  checked the next day

JOB DESCRIPTION Terms of employment New Employees only.You will be engaged on a 6 month trial period,during which time you will be assessed for suitability,Your Job Description is that of Warehouse worker/sales assistant  unless otherwise given in writing .you will be given 1 weeks notice during this time or accordingly to the law at the time,you will be expected to read this training guide and act within it,sometimes through no fault of your  own things dont work out as expected dissmissal during this time may have no reflection at all on yourself just curcumstances af changing after 6 months the law will come into force as regards your rights,We under no  curcumstances will deal with members of your family or freinds as regards your employment,lack of it,or any aspect of your employment,if any family members say mummy or daddy ring up complaining about any aspect Of their little  mummys boy or girl we will not deal with them as your representative you have Solicitors Trade unions ACAS or other staff members of your choice.We are governed by enough rules and regulations in law without family members  causing trouble,it is our own interest to make sure you are happy at work and any complaints or quereys should first of all be brought to the attention of your manager in writing a scribbled note will suffice

STAFF DISCOUNTS carpets may be bought for freinds and family at a discount by employees the contract of sale must be made out in your name,and any faults or problems is dealt with through yourself,Your friend or member of families name should not be on receipt,in the past goods supplied at a discount with no profit have been the subject of court proceedings because their name was on receipt,You are getting discount for being an employee of the Company, for friends and family only,obviously you are not to supply other people and run your own little business inside the Companies As the company has made very little profit on the sale to you you must deal with the complaint yourself without your friends or family trying to deal with it and using our resourses,if it is a 10 to 15% percent discount that is different you may put your friend or families members name on receipt.

WORKING FROM HIGHTS only proper means of gaining hight should be used ie ladders steps stools not makeshift  items and an assessment should be made first of the dangers example if you do fall what are you going to fall on to.There should be at least one person holding your ladder or steps steady and if in any doubt about the safeness call in a contractor.
